Privacy Policy

ReplyKind (“ReplyKind”, “we”, “us”) provides software that helps businesses respond to their Google reviews. This policy explains what information we collect, how we use it, how we protect it, and the choices you have. It applies to our website at replykind.com and to the ReplyKind application.
1. Information we collect
- Waitlist and account information. When you join our early-access list we collect your email address. When accounts open, we will additionally collect your name, business name, and login credentials (passwords are stored only as secure one-way hashes).
- Google user data (with your explicit consent).When you connect your Google Business Profile, we access — through Google’s official APIs and only after you grant permission via Google’s consent screen — your business location details, the reviews left on your profiles, and the ability to publish review replies on your behalf. We request only the minimum permission scope required for this purpose.
- Technical information. Standard server logs (such as truncated IP-derived identifiers and browser type) used for security and abuse prevention. Waitlist submissions store the IP only as an irreversible salted hash.
2. How we use Google user data
We access Google user data solely to provide the features you sign up for:
- displaying your locations and their reviews inside ReplyKind;
- generating draft replies to those reviews;
- publishing replies to your Google Business Profile when you approve them (or automatically, only where you have enabled auto-posting for positive reviews);
- detecting when Google rejects a published reply so we can notify you.
Limited Use disclosure.ReplyKind’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell Google user data, do not use it for advertising, and do not use it to train generalized machine-learning models. Review content is processed by our AI provider only transiently, to generate the specific reply you requested, and is not used by us or our providers to train models.
3. How we protect your data
- All traffic is encrypted in transit (HTTPS/TLS).
- Google access tokens are encrypted at rest and are never stored in plaintext or exposed to your browser.
- Access to production systems follows the principle of least privilege.
- You can disconnect ReplyKind’s access at any time from inside the app or via your Google Account permissions page, which immediately invalidates our access.
4. Sharing
We do not sell your personal information. We share data only with the service providers necessary to run ReplyKind (such as cloud hosting, database hosting, our AI provider for reply generation, transactional email, and payment processing), each bound by their own confidentiality and data-protection obligations, and where required by law.
5. Where your data is stored
ReplyKind is hosted in the United States (Northern Virginia). If you are in the UK, the European Economic Area, or another region with data transfer rules, your information is transferred to and processed in the US by us and by our infrastructure providers, under the standard contractual clauses those providers offer. Static parts of our website are served from a global content network, which stores no personal data.
6. Retention and deletion
We keep your data while your account is active. If you delete your account or disconnect Google, we delete your Google user data from our systems within 30 days, except where a longer period is required by law. Waitlist emails are deleted on request at any time.
7. Your rights
Depending on your location (including under the EU/UK GDPR and India’s DPDP Act), you may have rights to access, correct, export, or delete your personal data, and to withdraw consent. To exercise any of these, email privacy@replykind.com and we will respond within 30 days.
8. Cookies and analytics
Our marketing site currently uses no advertising or cross-site tracking cookies. If we introduce analytics, we will prefer cookie-less, privacy-preserving measurement and update this policy first.
9. Children
ReplyKind is a business tool and is not directed at children under 18.
10. Changes to this policy
We will post any changes on this page and update the date above. For material changes affecting Google user data, we will notify account holders by email before the change takes effect.
